What is Smartsheet?

Smartsheet is an online work management tool used to assign tasks, track project progress, and collaborate with other through form creation and a tabular user interface.

Who can get access to Smartsheet?

PDM faculty and staff can gain access to Smartsheet.

How do I get access to Smartsheet?

You can submit a ticket to PDM IT to request access to Smartsheet as a collaborator (free account) or a licensed user (paid account). If you require a license, please provide a business reason. Once your request is received, PDM IT will request it from Penn's central computing.

How much does Smartsheet cost?

A Smartsheet full license (ability to create sheets) is $27.50/license/month. A collaborator license (which provides the ability to edit with limitations) is free.

Do I have to use my Penn email to create the account?

Yes. Smartsheet accounts must be created with your Penn email.

I forgot my login information, how can I reset my Smartsheet password?

Smartsheet uses your email and pennkey password. If you do not know your pennkey password, you can reset it here.

Will I retain Smartsheet access if I no longer work at PDM?

No, your license is deactivated once you no longer are a member of PDM.

Licensing

How long does it take me to get a license for Smartsheet?

Licenses for Smartsheet generally take about 2-4 business days after the request is submitted to PDM IT

How do I know if my account has a Smartsheet license?

You can find out if you have a Smartsheet license by logging in with your Penn email, selecting the person icon on the lower left and then selecting Plan Info. If Enterprise is listed as the account type, you have a license.

I still work at PDM but don’t want my license anymore.

If you would like to relinquish your license, you can submit a request to PDM IT to deactivate your account.

If I deactivate my account will my sheets be deleted?

You can request that they be transferred to a team member before deactivation. They will remain active under the new owner.

Technical Requirements

Are there any special requirements my computer needs to run Smartsheet?

No. Smartsheet is browser-based software that is available on any web browser regardless of operating system.

How do I access Smartsheet?

You can access Smartsheet in any web browser by navigating to Smartsheet.com. You can also download the Smartsheet App for mobile devices.

Can I use Smartsheet offline?

Unfortunately, Smartsheet is only accessible through an internet connection via a browser or the app. However, you can export your sheet for offline use.

Can I export my Smartsheet data to another format?

Yes, you can export to the following formats: Excel, PNG (Gantt Chart only), Microsoft Project (Gantt Chart only), PDF, and Google Sheet.

If I export a sheet, will changes update on Smartsheet?

No, edits made on an export will only be saved on that file.

Collaborating with Others

Do I need a Smartsheet license to view someone else's sheets?

No, licenses are only needed if you are creating sheets or adding columns to existing sheets.

How do I gain access to someone else’s sheets?

The owner of the sheet or other sheet members who have share access must add your Penn email as a sheet member in order to gain access.

Can the PDM IT give access to someone else’s sheets?

PDM IT can only give access to someone else’s sheets if written authorization is given from the supervisor of the sheet owner. Written authorization must come in the form of an email or ticket.
