Generating a PDF from a Smartsheet

You can create a PDF from content within a Smartsheet. There are two ways to create a PDF from a Smartsheet:

  1. Print to PDF

  2. Generate Document

  1. Right-click the row you want to print.

  2. Click "Row Actions"
  3. Select print.

  4. Select print again, then select print to PDF.

  5. Select save.

Generate Document

Generate Document is a feature that populates a pre-designed PDF with a Smartsheet row. This allows for a cleaner PDF and the ability for the PDF to later be signed.

  1. Create a pdf with the desired format, text, and form fields. Note: If you are making multi-line answer boxes, the form fields in Adobe must be set to multi-line.

  2. Create a new Smartsheet and name the columns for each of the corresponding PDF fields.

  3. Right-click the first row, click "Row Actions," then select generate documents.

  4. Select create document mapping.

  5. Select PDF > next and upload the PDF you will be filling.

  6. Drag and drop the column that corresponds to your form box.

  7. Select preview to view the form. Note: This will only work if your sheet has text in it already.

  8. Select generate to create the PDF.

  9. Select save to save the PDF as a template for future use.

Add additional PDFs to a Smartsheet

  1. Open up the Smartsheet.

  2. Right-click any row and select generate documents

  3. Select create new.

  4. Select PDF, then next, and upload the pdf you will be using.

  5. Drag and drop the column that corresponds to your form box.

  6. Select preview to preview the form (only works if you sheet has text in it already)

  7. Select generate to create the pdf as a download.

  8. Select save to save the pdf as a template for future use.

Generate forms after setting up PDF generating

  1. Open up the Smartsheet that needs a generated form.

  2. Right-click any row and select generate documents.

  3. Select generate next to the pdf you want to use as a template.

  4. Select generate to create the pdf as a download.

Attach a generated form to a Smartsheet row

  1. Open up the Smartsheet that needs a generated form.

  2. Right-click any row and select general documents.

  3. Select generate next to the pdf you want to use as a template.

  4. Select attach to row.
